This Privacy Policy describes how LabPilot ("LabPilot", "we", "us", or "our") collects, uses, and protects information when you create an account or use our website and services.

We keep things simple: we do not sell your personal information, and we do not collect personal information beyond what you provide when you sign up for an account.

When you register for LabPilot, we collect only the information you enter on the signup form, which may include:

• Your email address
• Your company name
• Your account password (stored in hashed form)
• An optional invite code, if you provide one

We do not ask for or collect additional personal profile information beyond these signup details unless you voluntarily contact us for support or other communications.

How we use information

We use the information you provide at signup to:

• Create and manage your LabPilot account
• Authenticate you when you sign in
• Associate your account with your company or team
• Communicate with you about your account, the service, or support requests
• Comply with legal obligations and enforce our terms

Payment processing

If you make a payment through LabPilot, payment processing is handled by Stripe. LabPilot does not store your full payment card details on our servers.

Cloud infrastructure

LabPilot uses Amazon Web Services, Inc. ("AWS") to host, process, and store the Service, including files and other data you upload. When you use LabPilot, that information is transmitted to, processed on, and stored on AWS servers.

AWS acts as a service provider to LabPilot and processes such information on our behalf in order to operate and deliver the Service. AWS's handling of information is also subject to AWS's own policies. For more information, please review AWS's Privacy Notice.

Notice to customers in the European Union, European Economic Area, and United Kingdom

If you are located in the European Union, the European Economic Area, or the United Kingdom, please note that information you provide or upload to LabPilot may be transferred to, stored in, and processed in the United States or Canada, or both. Those countries may not provide the same level of data protection as the laws of your country of residence.

In addition, such information may be accessed, when necessary to perform the services we provide to you, by LabPilot personnel based in Canada.

LabPilot takes every reasonable measure to safeguard the security and privacy of information entrusted to us, including in connection with such transfers, storage, processing, and access.

By using the Service, you acknowledge that your information may be transferred to, stored in, and processed in these jurisdictions, and may be accessed by our Canadian-based staff as described above, for the purpose of providing the Service.

Sharing and sale of information

We do not sell, rent, or trade your personal information. We may share information only when necessary to operate the Service, such as with infrastructure providers like Amazon Web Services and payment processors like Stripe, or when required by law.

Data retention and security

We retain account information for as long as your account is active or as needed to provide the service and meet legal or operational requirements. We use reasonable administrative, technical, and organizational measures designed to protect the information we hold.
